  • It is the primary responsibility of the Sales Coordinator to find new clients to hold catered events at the Hollywood Casino at Charles Town Races, as well as service the catering and event needs of clients. This position requires the complete coordination of all special events & client meetings while working closely with F&B and Hotel departments to ensure the successful planning, setup, and service of client events. All duties are to be performed in accordance with departmental and Penn Entertainment policies, practices, and procedures.
  • Assumes the role of the main point of communication between the client and all departments within the property both in preplanning and onsite.
  • Works directly with clients on proposals, contracts, planning, room setup, menu suggestions, décor, cost and billing details and other requirements pertinent to their programs.
  • Coordinates with meeting planner/event coordinator from time of booking through the successful completion of the event and the follow-up of the event including but not limited to the complete payment of all monies owed to HCCTR.
  • Manages group sales activities to maximize revenue for the F&B and Hotel departments.
  • Actively participates in sales presentations, property tours and sight inspections and customer meetings.
  • Maintains accurate and up-to-date client files.
  • Follows-up on all current clients at definite status involving payment procedures, rooming lists, cut-off dates, banquet event orders and direct billing.
  • Compiles guest correspondence for the administration of proposals, contracts and BEO's.
  • Actively solicits new business through telephone and internet prospects weekly.
  • Responsible for meeting and exceeding the monthly and annual revenue targets by generating brand-new and repeat business through referrals, telephone solicitation, direct mail, outside sales calls, networking, and other community marketing techniques.
  • Responds to business inquiries and client requests within 24 hours.
  • Attends and administers BEO meetings as requested and assists all property departments with internal meeting requirements and details as needed.
  • Facilitates the resolution of customer complaints and support all customer service programs.
  • Exhibits a friendly, helpful, and courteous manner when dealing with customers and fellow team members.
  • Coordinating and managing event staff.

  • This position utilizes problem solving and reasoning abilities often.
  • Must be at least 21 years of age.
  • High school education or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Must have the ability to interact with guests, staff and colleagues and resolve problems and conflicts in a diplomatic and tactful manner.
  • Have the ability to write reports, business correspondence, and procedure manuals.
  • Previous experience in Food & Beverage desired, but not required.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.Flexible to work all shifts including holidays, nights, weekends, and overtime as business needs dictate.

  • Must be proficient in Microsoft Outlook programs.
  • Excellent motivational, communication and customer service skills required.
  • Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
  • Must obtain and maintain a West Virginia Racing Commission license and a Jefferson County food handlers’ card.
  • While performing the duties of this job, the employee is regularly required to stand, walk, use and reach with hands and arms, and lift objects weighing as much as 25 pounds. The employee frequently is required to talk or hear. The employee is occasionally required to stoop, kneel, crouch, or crawl.
  • The noise level in the work environment is moderate. The team member could be exposed to an environment containing unrestricted secondhand smoke.
