ESSENTIAL DUTIES AND RESPONSIBILITIES

The following and other duties may be assigned as necessary:

  • The Assistant Entertainment Manager is responsible for managing performances, events, artists, and entertainers. This includes all live entertainment, festivals, or partnership events.
  • Responsible for coordinating show advances with the tour manager and production company
  • Oversee A/V team and maintain all property sound and light equipment during events.
  • Assist in executing marketing plans for all entertainment events.
  • Coordinate co-op marketing opportunities with sponsors and partners.
  • Supervise A/V staff and vendors to ensure all technical needs are met for each show.
  • Coordinate all lodging, transportation, riders, and meals for performers.
  • Assist and supervise live entertainment and artist production advances, and coordinate with tour and local production staff as needed.
  • Process contracts, tax forms, billing, and artist payments and deposits for all entertainment expenses.
  • Negotiate and finalize all riders for performers.
  • Create proforma and post event analysis.
  • Manage all tracking and ticketing and comp ticket inventory.
  • Responsible for assisting in the budget process for the department and provide recommendations; ensuring compliance to departmental budget initiatives; reporting budget concerns to manager. 
  • Enthusiastically supports, actively promotes, and demonstrates superior customer service in accordance with department and company standards and programs.  Ensures customer service standards are followed by all team members and addresses issues as they arise.  Responsible for the overall achievement of department customer service goals.
  • Enhance guest interactions by providing a friendly greeting, offering directions, answering questions, making announcements, and creating an upbeat and positive atmosphere.
  • Responsible for ensuring the compliance with all regulatory compliance within area of responsibility and reporting potential issues to Executive Management / GM.
  • Complete artist deposit payments.
  • Complete artist and venue show settlements night of show and post show as needed. Deliver all completed settlement information to finance team.
  • Manage show files to ensure all essential documents are present prior to day of show. Including but not limited to headliner and support contracts, riders, and W9’s.
  • Assist with industry and guest ticketing requests and serve as liaison on site as needed.
  • Maintains strict confidentiality in all departmental and company matters.
  • Responsible for planning and organizing the regularly scheduled entertainment acts for all performances on property. Dress in appropriate uniform/attire based upon event/venue, occasionally a costume may be used.

QUALIFICATION REQUIREMENTS  

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Bachelor’s degree (B.A./B.S.) from four-year college or university in entertainment management or marketing or related field; five years progressively more challenging leadership roles in entertainment, marketing, or operations; or equivalent combination of education and experience.
  • One – three years of entertainment booking/buying, and production required.
  • Experience with Ticketmaster systems preferred.
  • Technical proficiency in lighting, video, and audio systems.
  • Must have excellent verbal, written, and interpersonal skills.
  • Must have technical proficiency and knowledge in Microsoft applications (Word, Excel, and Outlook).
  • Strong client interface and presentation skills preferred.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Must have the ability to interact with guests, staff and colleagues and resolve problems and conflicts in a diplomatic and tactful manner.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Must have demonstrated ability to drive toward results.

SUPERVISORY RESPONSIBILITIES                                                   

This job will have supervisory responsibilities.

  • Responsible for staff development and training programs.
  • Responsible for rewards and recognition program to maximize employee engagement.
  • Evaluates team members within department and delivers constructive performance feedback to employees.
  • Determines recommendation for staffing (including interviewing and hiring) and scheduling (planning, assigning, and directing work) to meet business needs.
  • Manages work procedures and expedites workflow.
  • Responsible for employee performance (disciplining, coaching, counseling).

 

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in in English may also be required.

 

REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

CERTIFICATES, LICENSES, REGISTRATIONS

For every year of employment, Employee must:

 

  1. Obtain and maintain a license by the WV Racing Commission and/or WV Lottery as may be required for this position.
  2. Successfully complete and maintain certification in the Beverage Service Program (TIPS) as may be required for this position.

Commitment and ability to work on flexible shifts and days off and long hours based on business demands of shows and property.
