Initial placement within the salary range is based on an individual's relevant knowledge, skills, and experience. WE LOVE OUR WORK.

  • Schedules appointments and keeps a current calendar of events and activities, including preparing and verifying travel arrangements, scheduling meetings, conferences, and community or social engagements as needed.
  • Responsible for drafting, preparing, or transcribing general correspondence, communications, reports, spreadsheets, databases, charts, manuals, presentations, agendas, itineraries, and other documents as needed in the operations,
  • Handles incoming guest complaint and inquiry calls and follows through to ensure satisfaction and resolution of issue.
  • Coordinates hotel and ground transportation arrangements for Corporate guests, visiting team members, vendors, and others as requested. 
  • Coordinates and oversees projects as directed by the General Manager, Assistant General Manager, and Director of Human Resources as needed.
  • Serves as liaison for General Manager and coordinates requests with other managers and directors.
  • Answers and directs incoming phone calls for the Executive offices
  • Greets and directs guests and team members who visit the Executive offices.
  • Manages libraries of a variety of information, including internal controls and documents.
  • Has a general working knowledge of Human Resource functions to assist team members as needed.

Executive Support & Calendar Coordination

  • Manage the General Manager’s calendar, including scheduling, rescheduling, and confirming all appointments and meetings.
  • Coordinate and send reminders for internal and external meetings, ensuring agendas and materials are prepared.
  • Maintain recurring VP and Executive meeting schedules, including VP 1:1s, IGC meetings, Evictions meetings, Executive Team meetings, and VP Continuation meetings.
  • Adjust 1:1 and leadership meetings in advance of PTO/FTO schedules.
  • Update calendar with VP Flex Time Off and ensure visibility for GM.

Executive Office Administration

  • Attend weekly meetings with the General Manager and track key action items.
  • Check GM Suggestion Box three times per week; scan and route submissions to responsible department leaders.
  • Order and maintain office supplies, beverages, business cards, and shipping materials for the Executive Office and IGC.
  • Order and coordinate catering and lunches for meetings and special occasions.
  • Coordinate Executive birthday recognition, including cake ordering and distribution.
  • Maintain GM office and restroom readiness, including monthly shower run-through.

Financial & Documentation Processing

  • Reconcile GM and IGC expense reports in a timely and accurate manner.
  • Process incoming and outgoing mail, packages, and FedEx shipments, including coordination with warehouse distribution when needed.
  • Distribute the Weekly Termination Report to designated leaders.

ESG, Community Relations & Guest Experience

  • Act as liaison with community leaders, partner organizations, and charitable partners on behalf of the Executive Office.
  • Collect and submit ESG reporting to Corporate, including:
    • In-kind donations
    • Gift card contributions
    • Volunteer hours
    • Recycling activity
    • Photos and summaries of internal/community events
  • Coordinate requests and communications received through the Donation Committee.
  • Monitor guest satisfaction comments and escalate trends, themes, and service opportunities to appropriate departments.

Executive Communication & Special Projects

  • Answer and direct incoming calls for the Executive Office with professionalism and discretion.
  • Provide competitor market data to the General Manager for operational review.
  • Coordinate property photo orders and other professional materials as requested.
  • Support Executives with administrative tasks, research needs, and special projects as assigned.

Qualifications

  • High School Diploma required; Bachelor’s Degree in areas of Business Management, Marketing/Event Planning, Communications, Hospitality, or Human Resources preferred. 
  • Must have five (5) years of administrative experience working with top-level executives. Gaming experience preferred.
  • Strong organizational skills with ability to prioritize and manage multiple deadlines.
  • Professional communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise discretion consistently.
  • Proficiency in Microsoft Office Suite and administrative coordination tools.
  • Previous experience supporting senior leadership in hospitality, gaming, or corporate environment preferred
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Must have basic math skills, including the ability to add, subtract, multiply, and divide.
  • Ability to assume responsibility without direct supervision.
  • Must be able to handle a heavy workload in a fast-paced environment.
  • Must be able to maintain confidentiality and a high level of professionalism at all times.
  • Ability to maintain a valid state-issued Driver’s License.
  • Ability to work collaboratively and communicate effectively with team members at all levels of the organization.
  • Ability to maintain a high level of energy and take a proactive and strategic approach to dealing with issues.
