Job Summary

The Horsemen's Bookkeeper is responsible for maintaining accurate financial records for horsemen's accounts and purse funds while facilitating transactions related to racing operations. This position supports operational excellence through accurate recordkeeping, regulatory compliance, exceptional customer service, and effective financial administration.

 

Essential Functions

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Maintain accurate records of all financial transactions for horsemen, owners, and jockey accounts.
  • Accept payment requests with associated payment documentation.
  • Enter and maintain race results and related information, including jockey and owner changes, scratches, double jockey mounts, breeders' incentive payments, and claims activity.
  • Reconcile and update account balances on a daily basis.
  • Prepare and distribute month-end reports, account summaries, and special financial statements as requested.
  • Process payments related to photographers, Teleview services, breeders' funds, Jockey Guild obligations, and other approved disbursements.
  • Ensure compliance with all applicable racing commission regulations, company policies, and internal controls.
  • Provide timely, professional, and courteous service to horsemen, jockeys, owners, regulators, and internal team members.
  • Maintain confidentiality of financial and personal information.
  • Perform other duties as assigned.

Supervisory Responsibilities

This position has no direct supervisory responsibilities. In the absence of departmental leadership, the incumbent may:

  • Respond to routine operational questions from team members.
  • Assist with coordinating daily departmental activities.
  • Collaborate with internal departments to ensure timely completion of work assignments.

Qualifications

Education and Experience

  • High School Diploma or GED required.
  • Prior bookkeeping, accounting, payroll, racing operations, or clerical experience required.

Knowledge, Skills, and Abilities

  • Strong attention to detail and organizational skills.
  • Ability to maintain accurate records and perform work with a high degree of accuracy.
  • Ability to prioritize assignments and meet deadlines in a fast-paced environment.
  • Strong interpersonal and customer service skills.
  • Ability to work independently and as part of a team.
  • Ability to handle sensitive and confidential information appropriately.

 

Language Skills

  • Ability to read, write, speak, and understand English.
  • Ability to effectively communicate with guests, regulatory agencies, and team members.
  • Ability to interpret and apply policies, procedures, and operational documents.
  • Bilingual or multilingual skills are a plus.

Mathematical Skills

  • Ability to perform basic accounting and mathematical calculations with accuracy.
  • Ability to reconcile financial transactions and account balances.

Reasoning Ability

  • Ability to identify issues, gather relevant information, evaluate alternatives, and implement practical solutions.
  • Ability to exercise sound judgment and make decisions consistent with company policies and regulatory requirements.

Computer Skills

  • Proficiency with Microsoft Office applications, particularly Excel and Word.
  • Experience with accounting, payroll, or racing-related software systems preferred.
  • Knowledge of InCompass software preferred.

Licenses, Certifications, and Registrations

  • Must be able to obtain and maintain all licenses, permits, and certifications required by the New Mexico State Racing Commission.
  • Must meet all credentialing requirements established by the New Mexico Gaming Control Board and other applicable regulatory authorities.

Physical Demands

The physical demands described here are representative of those required to successfully perform the essential functions of this position.

  • Frequently seated while performing administrative and bookkeeping duties.
  • Occasionally required to walk throughout the facility.
  • Ability to use a computer, calculator, telephone, and other standard office equipment.
  • Ability to communicate effectively and review detailed financial documents.
  • Specific vision abilities include close vision, color vision, peripheral vision, and the ability to adjust focus.

Work Environment

The work environment characteristics described here are representative of those encountered while performing the essential functions of this position.

  • Primarily an office environment within a racing and gaming facility.
  • Exposure to moderate noise levels.
  • May be exposed to smoking in designated guest areas in accordance with property policies and applicable regulations.
