Initial placement within the salary range is based on an individual's relevant knowledge, skills, and experience. The Security Administrative Assistant provides administrative and operational support to the Director of Security and Security Department. This position helps maintain accurate records, coordinate schedules and communications, prepare reports, and ensure the department remains organized and compliant with company and regulatory requirements.

Essential Duties & Responsibilities

  • Provide administrative support to the Director of Security and Security team.
  • Maintain Security files, reports, logs, records, and confidential documentation.
  • Assist with incident reports, daily activity reports, and other departmental documentation.
  • Coordinate meetings, schedules, training, and departmental communications.
  • Track Security employee licenses, certifications, training, and required documentation.
  • Assist with Texas Racing Commission and other regulatory compliance documentation.
  • Prepare correspondence, spreadsheets, reports, and presentations as needed.
  • Serve as a professional point of contact for employees, management, vendors, and guests.
  • Assist with Security staffing and administrative needs for live racing days and special events.
  • Maintain department supplies, equipment records, and other administrative needs.
  • Assist with audits, inspections, investigations, and special projects.
  • Maintain strict confidentiality of sensitive Security, employee, and operational information.
  • Perform other duties as assigned by the Director of Security.

Qualifications

  • High school diploma or equivalent.
  • Previous administrative or office experience preferred.
  • Strong organizational and communication skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Ability to handle confidential information with discretion.
  • Professional, dependable, and customer-service oriented.
  • Ability to work evenings, weekends, holidays, and live racing/event days as needed.
